How to find the best meeting time across time zones

  1. Add the cities of everyone in the meeting. Type a city, a country or a zone abbreviation such as PST, CET, IST or JST, or click any spot on the map.
  2. Put your own city first — the planner follows its clock — and pick the date. Daylight saving time is applied for that date automatically.
  3. Read across a column: green hours are working hours, amber is early morning or evening, dark is night.
  4. Choose the meeting length. Best times to meet lists the three slots that keep everyone out of the night and as many people as possible inside working hours.
  5. Click a slot, then copy the times for your invite or add the meeting to Google Calendar or Outlook — each attendee's calendar shows it in their own time zone.

Overlapping working hours

Two cities share working hours when 9:00–17:00 in one falls partly inside 9:00–17:00 in the other. New York and London overlap for about three hours each morning in New York; New York and Tokyo do not overlap at all, so one side always joins early or late. The planner shows the exact overlap for your cities and your date, and you can change the working day to match your team — for example 8:00–16:00 or 10:00–19:00.

Daylight saving time

The gap between two cities is not fixed. The United States and Europe change their clocks on different weekends, so for a few weeks each spring and autumn the difference between New York and London is four hours instead of five. Southern-hemisphere cities such as Sydney and Santiago move their clocks in the opposite season, and many places — Tokyo, Beijing, Mumbai, Phoenix, Dubai — never change at all. The planner shows the offset for the exact date you pick and warns you when a clock change is coming up in the next few weeks.
